# Inbox

> Your HR team's shared mailbox in Enfue. Send and receive applicant emails in one place, with each applicant's details right next to the conversation.

The **Inbox** is your mailbox inside Enfue. It's shared by your whole HR team: everyone sees the same conversations, sends from the same company address, and receives applicants' replies in the same place. Nobody has to forward emails or copy a colleague in, and if someone is away, the rest of the team can pick up where they left off.

Open **Inbox** from the main menu.

## Inbox or Messenger?

Enfue gives you two ways to talk to candidates:

| **Inbox** | Formal emails such as interview invitations and job offers, attachments, email templates, and any candidate without an Enfue account. |

## How the Inbox is laid out

The Inbox has three columns.

| Column | What it shows |
| - | - |
| **Left: conversations** | Every email conversation, newest first. Each shows the applicant's name and email address, the start of the subject, and how long ago the last message arrived. |
| **Middle: the conversation** | The selected conversation, with a reply form at the top and the email thread below it. |
| **Right: the applicant** | A summary of the applicant, with quick actions and your team's comments. |

## Read a conversation

Click a conversation on the left to open it. The applicant's name and email address appear at the top. Click the copy icon next to the email address to copy it.

The email thread appears below the reply form. Each message shows who sent it, who it went to, and when. Earlier messages in the conversation, including emails Enfue sent automatically on your behalf, such as interview invitations, appear quoted underneath.

The team member shown at the top right, for example **Trang Huynh**, is the applicant's assignee. Click the name to choose someone else.

## Reply to an applicant

    Under **Use email template**, pick a template to fill in the message for you. You can edit it before sending.

    **From** shows your company's email address, for example `work@techsoft.one`. Every email the team sends comes from this address. **To** is filled in with the applicant. To copy someone else in, search for them or type their address under **CC**.

  <Step title="Check the subject">
    The **Subject** is filled in for you, starting with **Re:** so your reply stays in the same conversation. Change it if you need to.
  </Step>

  <Step title="Write your message">
    Type in the editor. Use the toolbar to format text, add lists, links, tables, and images.

  <Step title="Include the earlier email (optional)">
    Turn on **Append previous email** to quote the previous message under your reply.
  </Step>

  <Step title="Attach files (optional)">
    Click **Attach file** to add, for example, a job offer or an assignment.
  </Step>

  <Step title="Send">
    Click **Send**. The applicant's reply will arrive back in the Inbox, in the same conversation.

## Start a new email

Click the **compose** icon next to the **Inbox** title to write a new email.

## Act on the applicant without leaving the Inbox

The panel on the right shows who you're emailing:

* Their name, the date they applied, and their evaluation counts: thumbs-down for **Do not Recommend** and thumbs-up for **Recommend**. A red double arrow next to the name means they're marked high priority.
* **Applied job** and **Current stage**. Click either one to change it, for example to move the applicant to the next stage after they confirm an interview.
* Their **Phone number**.

From here you can:

| Button | What it does |
| - | - |
| **View applicant detail** | Open the applicant's full profile. See [The applicant profile](/hiring/applicants/applicant-profile). |
| **Disqualify** | Remove the applicant from the process, for example when they decline an interview. |
| **Proceed further** | Move the applicant to the next stage. |

### Comments

Use **Comments** to leave notes for your team about this applicant. Type in **Add a comment** and click **Send**. Comments are internal: applicants never see them. They're the same comments that appear on the applicant's profile.

<Tip>
  Because the whole team shares the Inbox, use a comment to tell colleagues what you've done, for example "Called her, she'll confirm by Friday," so nobody sends the applicant a second reply.

## Tips for a shared Inbox

* **Check the assignee before replying.** If an applicant is assigned to a colleague, leave the reply to them unless you've agreed otherwise.
* **Use email templates** for the messages you send most, such as interview invitations and rejections, so every applicant hears from your team in the same voice.
* **Act straight from the conversation.** When an applicant declines, click **Disqualify** right away. When they accept, change their stage or click **Proceed further**, so your [Pipeline](/hiring/pipeline) stays accurate.
